Vox are seeking a talented and driven Project Manager with a passion for Coaching to join our growing team. As a project manager you will play an integral role supporting and reporting into the Client Services Director supporting on end-to end management and delivery of client facing projects and coaching sessions. You will play a key role in; managing client relationships, contributing to new and organic business development, managing Vox’s broadcast studio and contribute to the creation and execution of marketing materials.

Key responsibilities:

Project management, operations and administration

  • End-to-end project management of coaching sessions and projects
  • Communicate and collaborate with clients and be responsive to their needs, ensuring briefs are delivered on time and on budget
  • Maintain relationships with a client portfolio, acting as a key point of contact
  • Support the Client Services Director in implementing and updating internal systems and processes e.g. website, CRM, PM software, client portal
  • Maintain accurate project data e.g. on the calendar, PM software, CRM and server
  • Participate in sales and project meetings with the team
  • Organise pre-session preparation including briefing calls and client input
  • Produce and share confirmation paperwork and quote documents with clients
  • Book internal coaches to deliver sessions and resource external coaches, camera operators and other contractors, sending invitations and confirmations
  • Liaise with clients to organise room logistics for sessions
  • Arrange travel, accommodation and other necessities for the team
  • Work with the coaches and design team to produce session materials
  • Organise and process video produced in sessions for sharing with clients
  • Proof-read and edit agendas and feedback for sharing with clients
  • Work with the Client Services Director and finance team to assist with invoicing and requesting payments
  • Manage Vox’s broadcast studio and training space:
    • Stock and set up the rooms for coaching sessions
    • Look after guests visiting the space e.g. update the reception team, greet people and arrange catering
  • Compile data/analysis for the Client Services Director as required

Sales and marketing

  • Identify opportunities to further support existing clients and work with the Client Services Director and coaches to propose suggestions and win extra work
  • Organise calls/meetings with prospective and existing clients for the Client Services team and coaches to discuss new opportunities
  • Support and work with the Client Services and Design teams to produce marketing materials e.g. credentials, proposals, videos and social media assets
  • Network with internal and external stakeholders e.g. identifying opportunities to show where Vox can help and working with the Client Services Director to action initiatives

Experience required/desired:

  • 2+ years of experience in a fast-paced, professional environment (ideally a client-facing role in an agency)
  • Experience of building and leveraging relationships and establishing rapport
  • Strong attention to detail and an ability to adapt timelines and processes
  • Driven and determined to achieve targets and objectives
  • Excellent time management skills
  • Excellent communication skills, both verbal and written
  • An understanding of, and interest in, the communications industry
